We collect the minimum data required to keep SKEDA secure and running smoothly. Here’s what that means in practice.

What we collect (and what we don’t)

Authentication essentials

We only store the identifiers needed to sign you in:

  • User ID: Provided by your authentication provider.
  • Email address: From Google for account access.

What stays out of SKEDA

We deliberately avoid storing:

  • Personal identifiable information beyond your email.
  • Financial data—payments run through specialised providers.

How we use your data

Your details are used for the essentials only. Every use case has a clear purpose:

  • Authentication: Verify your identity and secure each session.
  • Service delivery: Allow you to create and manage rosters.
  • Support: Respond to help requests and keep you informed.

Where the data comes from

We only ingest data from the identity provider you choose:

Google Workspace / Gmail

Provides your Google user ID and email address when you sign in via Google.

How we keep data safe

Security is built into our platform from day one. We combine the following safeguards:

  • Encryption in transit and at rest for every request and sensitive database record.
  • Regular reviews of authentication flows, infrastructure, and monitoring alerts.

Working with third parties

We do not sell or trade your information. SKEDA shares data only with trusted processors who help us operate the product.

PostHog EU (analytics): Receives pseudonymised product usage to improve SKEDA. No roster content, personal identifiers, or contact details are sent. Review their practices in the PostHog GDPR compliance documentation .

Local automation: Assisted rostering features run on SKEDA-managed servers, so your roster data is never forwarded to third-party AI providers.

Payment providers: Handle billing information when we introduce paid plans. SKEDA never stores card details.

Your rights

GDPR gives you control over your information. We honour the following rights for every customer:

  • Access – Request a copy of the data we store about you.
  • Deletion – Ask us to remove your account and associated data.
  • Portability – Export your data in a structured, machine-readable format.
  • Correction – Update inaccurate or incomplete information.

Privacy Policy

We are committed to protecting your privacy and keeping your data secure.

Data Collection: We only store user IDs and emails from your authentication provider (Google).

No Personal Data: We do not collect, store, or process any other personal information.

Data Usage: Your data is used solely for authentication and service delivery.

Tracking: Product analytics are provided by PostHog EU (GDPR compliant) and are only used to improve our services—we do not share this data with any third party. Review their safeguards on the PostHog GDPR compliance page .

Local AI: Scheduling assistance runs on SKEDA-managed servers, so your data is never sent to external AI providers.

AI & Machine Learning Policy

Our rostering system uses agentic AI as a coordinator and assistant, but provides the agent with custom tooling to find solutions computationally rather than by prompting the LLM

Technology: We use Tabu Search, a costraint solving technique specifically designed for optimization problems.

Efficiency: Our approach is computationally efficient and purpose-built for scheduling.

Limitations: While our algorithm finds good solutions that satisfy your constraints, it does not guarantee finding optimal solutions. This is a property of Tabu search which allows efficient exploration of the problem space in a reduced amount of time.
